This policy applies to bookings for the Break the Loop Retreat made through Intrinsic Living®.
For this policy, “we”, “us” and “our” mean GREENDATA Pty Ltd, the merchant accepting payment for the Break the Loop Retreat under the Intrinsic Living® brand.
1. AUSTRALIAN CONSUMER LAW
Nothing in this policy excludes, restricts or modifies any consumer guarantee, right or remedy that cannot lawfully be excluded under the Australian Consumer Law.
The cancellation terms below apply when a participant chooses to cancel, cannot attend or requests to move their booking. They do not remove any rights that may apply if we fail to provide the retreat as agreed or otherwise fail to meet an applicable consumer guarantee.
2. REQUESTING A CANCELLATION
All cancellations and deferral requests must be made in writing.
Please reply to your booking confirmation email or use the contact details supplied in your retreat documentation. Include:
- Your full name
- The retreat and commencement date
- Whether you are requesting a cancellation or deferral
- Any relevant supporting information
The effective cancellation date is the date on which we receive your written request.
3. CANCELLATIONS 60 DAYS OR MORE BEFORE THE RETREAT
If we receive your cancellation request 60 days or more before the retreat begins, we will refund the retreat fees you have paid.
Actual payment, bank or transaction processing fees that are not returned to us may be deducted, to the extent permitted by law.
4. CANCELLATIONS 15 TO 59 DAYS BEFORE THE RETREAT
If we receive your cancellation request between 15 and 59 days before the retreat begins, we will refund the amount you have paid after deducting:
- Costs already reasonably committed to your booking that cannot be recovered
- Any applicable accommodation, catering, transport, reservation or retreat delivery costs
- Actual payment processing fees that are not returned to us
The deductions will reflect costs genuinely incurred or committed as a direct result of your booking. We will provide a summary of those deductions on request.
5. CANCELLATIONS 14 DAYS OR FEWER BEFORE THE RETREAT
If we receive your cancellation request 14 days or fewer before the retreat begins, no refund is available for change of mind or ordinary participant cancellation.
By this stage, accommodation, catering, transport, staffing and retreat delivery costs will generally have been committed, and there may be insufficient time to offer the place to another suitable participant.
This does not affect your rights under the Australian Consumer Law or prevent us from considering genuine exceptional circumstances.
6. GENUINE EXCEPTIONAL CIRCUMSTANCES
We understand that life does not always fit neatly within a policy.
If a serious and unexpected circumstance prevents you from attending, contact us as soon as reasonably possible and provide information that allows the circumstances to be reasonably substantiated.
We will consider the situation in good faith and on a case-by-case basis, having regard to:
- The nature and timing of the circumstances
- The notice provided
- The costs already committed to the booking
- Whether the place can reasonably be filled
- What would be fair to both the participant and the retreat organisers
Depending on the circumstances, we may offer a deferral, credit or partial refund after non-recoverable costs have been met.
Consideration of an exceptional circumstance does not guarantee a refund.
7. DEFERRING TO A LATER RETREAT
A participant may request to defer their booking once to another suitable Break the Loop Retreat beginning within 12 months of the original retreat commencement date.
A deferral:
- Must be requested in writing
- Is subject to availability and participant suitability
- Is only confirmed when agreed in writing
- May require any non-recoverable costs connected with the original booking to be deducted from the transferred credit
- May require payment of any difference in the price of the future retreat
Once a deferral has been accepted, the booking becomes non-refundable for any later change of mind or participant cancellation, except where a refund or other remedy is required by law.
A deferred booking cannot ordinarily be deferred a second time.
8. NO-SHOWS, LATE ARRIVALS AND EARLY DEPARTURES
No refund or credit is available if a participant:
- Does not attend the retreat
- Arrives after the retreat has commenced
- Chooses to leave before the retreat concludes
- Does not use part of the accommodation, meals, coaching or other inclusions
Exceptional circumstances may still be raised under section 6.
9. INTERNATIONAL TRAVEL RESPONSIBILITIES
Participants are responsible for arranging and maintaining:
- A valid passport
- Any required visa or entry approval
- Flights and onward travel
- Appropriate travel insurance
- Any required medical assessment, clearance, medication or documentation
- Compliance with Indonesian entry requirements
Being unable to travel because these arrangements have not been completed will generally be treated as a participant cancellation under this policy.
Participants who book within 14 days of the retreat accept responsibility for completing all requirements within the shorter preparation period.
10. IF WE CANCEL OR MATERIALLY CHANGE THE RETREAT
If we cancel the retreat and do not provide an acceptable alternative, participants may choose between:
-A transfer to another suitable retreat, or
- A refund of the retreat fees paid
If the retreat is postponed or materially changed, we will explain the available options and provide an appropriate transfer, credit or refund.
Except where required by law, we cannot ordinarily reimburse external costs such as airfares, passport or visa costs, travel insurance, medical expenses or other independently arranged travel.
For this reason, comprehensive travel insurance is strongly recommended from the time of booking.
11. PAYMENT METHOD AND REFUND PROCESSING
Approved refunds will be returned through the original payment method wherever reasonably possible.
If payment was made using PayPal Pay in 4 or another PayPal-managed payment option, the refund will be submitted through PayPal. PayPal will manage any adjustment to the participant’s payment arrangement in accordance with its own terms and processing timeframes.
We do not control PayPal’s approval decisions, instalment arrangements or processing timeframes.
All retreat prices and refunds are calculated in Australian dollars.
12. ACCEPTANCE OF THIS POLICY
By paying for or reserving a place at the Break the Loop Retreat, the participant confirms that they have read and accepted this Cancellation, Refund and Deferral Policy.
Participants should contact us before paying if anything in this policy is unclear or if they are considering booking within 14 days of the retreat.
